Privacy Policy
1. Who We Are
Wisertrack Pte. Ltd. ("Wisertrack," "we," "us," or "our") provides Wisertrack, a time-tracking and project-profitability platform available through our website and web application (collectively, the "Service").
This Privacy Policy explains what personal data we collect, why, how we use and safeguard it, and the choices and rights available to you. For questions, or to exercise any right described below, contact info@wisertrack.com.
1.1 Who is responsible for what
When you use the Service as part of your work, your employer or the organisation that set up the account (your "organisation") determines why and how time-tracking data about you is collected — for example, deciding which team members can see which data. Wisertrack processes that data on the organisation's behalf and according to its instructions, configured through the Service itself.
Wisertrack is directly responsible for account-registration data, billing data, marketing-site visitor data, and platform-level security data, regardless of which organisation you belong to.
If you're an individual user with a question about how your specific organisation is using your data, we'd suggest starting with your organisation's administrator — they're best placed to answer, and can involve us if needed. Organisations that need a formal data-processing arrangement in place with us (for example, to satisfy their own compliance obligations) can request one by writing to info@wisertrack.com.
2. Our Core Privacy Commitment
Wisertrack is built as a trust-first platform. This is a fixed product principle, not a configurable setting. Regardless of role, plan, or organisation configuration, Wisertrack does not:
- Log keystrokes
- Capture screenshots or screen recordings
- Access a device's camera or microphone for monitoring purposes
- Generate alerts, scores, or reports from any of the above
Wisertrack does not use keystroke logging, screenshots or screen recording, and does not score productivity. The timer stops automatically at midnight, on logout and after a period of inactivity; the optional browser companion also pauses when your device is idle.
Everything Wisertrack records about your work is based on time voluntarily entered by you or a colleague — timer sessions, manual entries, and the project or task context attached to them.
3. What We Collect
3.1 Account & identity data
Name, email address, a securely hashed password (we never store or have access to it in plain text), profile photo (optional), job title/role, and, if you sign in via a third-party identity provider, the identifiers that provider shares with us to authenticate you.
3.2 Organisation & workspace data
The organisation and workspace(s) you belong to, your assigned role, team assignments, and project/client associations relevant to your work.
3.3 Time-tracking data
Time entries (start/end times, duration, associated project/task/client), timesheet submissions, approval history, and any notes you choose to add — all directly and voluntarily entered, never inferred.
3.4 Wisertrack Companion (optional browser extension)
If you install the extension, it records, while it is switched on, the websites you visit (domain, address and page title) and how long you spend on each. A visible indicator shows when it is capturing, and you can exclude sites. The data is sent to Wisertrack only when you choose to submit it, where it becomes an unresolved time entry that you can finalise or discard. Your organisation's role-based permissions apply as for any time entry.
3.5 Billing & payment data
Paid subscriptions are processed by Dodo Payments, who acts as the merchant and seller of record for these transactions. Dodo Payments — not Wisertrack — handles card processing, applicable taxes, and invoicing, and by completing a purchase you separately accept Dodo Payments' own buyer-facing terms and privacy practices. We retain limited billing metadata (subscription tier, billing cycle, payment status, and Dodo Payments-assigned reference identifiers) but do not store your full card number or equivalent payment credentials.
3.6 Device & technical data
IP address, browser type, operating system, device identifiers, application version, and general diagnostic or crash information needed to keep the Service reliable and secure.
3.7 Communications
Messages sent to our support address, and records of that correspondence.
3.8 Cookies (website only)
Our public website may use strictly necessary cookies required for basic site functionality. See Section 13.
3.9 What we deliberately do not collect
Keystroke content, screen captures, camera/microphone data for monitoring purposes.
4. How We Use Your Data
We use the data described above to: provide, operate, and maintain the Service; authenticate users and secure accounts; process subscription billing through our payment processor; send Service-related communications (most of which are configurable); respond to support requests; maintain records of data changes for security, accountability, and internal record-keeping; improve reliability and usability; and meet legal obligations that apply to us and enforce our Terms of Service.
We do not sell personal data, and we do not use time-tracking data to build advertising profiles or share it with data brokers.
5. Who We Share Data With
- Service providers who help us operate the Service — including infrastructure/hosting providers and transactional email delivery providers, described categorically here rather than by name to reduce unnecessary security exposure, and Dodo Payments, our named payment processor and merchant of record. Organisations that need the full specific vendor list for their own due-diligence can request it at info@wisertrack.com.
- Your organisation's administrators, for data entered as part of your work, governed by the access levels your organisation configures.
- Authorities, only where required by valid legal process and only to the extent required.
- A successor entity, in the event of a merger, acquisition, or asset sale, subject to the same privacy commitments described here.
We do not share data with advertising networks, and we do not permit any partner or integration to use Wisertrack data for individual-level monitoring or productivity scoring.
6. Where Your Data Is Processed
Your data may be processed in more than one location by our infrastructure providers and by Dodo Payments, depending on your organisation's configuration. Where personal data moves across borders, we use reasonable, industry-standard contractual and technical safeguards with our service providers to protect it in transit and at its destination.
7. Data Retention
We retain personal data for as long as an account remains active, and for a reasonable period afterward to meet accounting, record-keeping, and dispute-resolution needs.
Where we honour a deletion request, we use an anonymisation-based approach: personally identifying fields are irreversibly anonymised, while underlying records we're required to retain for accounting or security-audit purposes remain intact in anonymised form — preserving system and financial integrity without retaining identifiable personal data about the individual concerned.
8. Your Choices & Rights
Depending on where you live, you may have rights that include:
- Access — requesting a copy of the personal data we hold about you
- Correction — correcting inaccurate or incomplete data
- Deletion — requesting deletion of your personal data (see Section 7 and Section 11.1)
- Restriction — asking us to limit certain uses of your data in defined circumstances
- Portability — receiving your data in a structured, commonly-used format
- Objection — objecting to certain uses of your data, including opting out of non-essential communications
- Withdrawing consent — where something relies on your consent, withdrawing it at any time, without affecting anything already done based on it
We use reasonable efforts to honour applicable rights requests within a reasonable timeframe. If your organisation is responsible for the data in question, we'd recommend contacting your organisation's administrator first; we support and, where appropriate, action requests routed to us directly at info@wisertrack.com.
Depending on where you live, you may also have the right to raise a concern with a relevant privacy regulator in your jurisdiction.
On employment-related data specifically: where an organisation uses Wisertrack to record its employees' or contractors' working time, the organisation itself is responsible for having a valid basis for that tracking under the laws applicable to it, and for giving its people appropriate notice. We do not treat an individual's use of the Service, on its own, as sufficient by itself to justify tracking — that responsibility sits with the organisation configuring and deploying the Service, consistent with the controller/processor allocation described in Section 1.1.
9. Security
We use reasonable, industry-standard measures designed to protect personal data, including encryption in transit, restricted internal access controls, secrets management practices that keep credentials out of application code, role-based access enforcement, and logging of data changes. No system can be guaranteed 100% secure, and we make no absolute warranty to that effect, but security is treated as a first-order design requirement.
10. Children's Privacy
Wisertrack is a workplace tool intended for business use by adults and is not directed at children. We do not knowingly collect personal data from children below the age at which local law requires parental consent. If we become aware that we've inadvertently collected such data, we will take reasonable steps to delete it.
11. Managing Your Data
11.1 Account & Data Management
You can request an export of your personal data, or permanently delete your account, directly within the Service under Account Settings — Privacy & Data. Account deletion is subject to a short grace period during which it can be cancelled before it takes effect. You can also reach us at info@wisertrack.com for help with either request.
12. Trademark Notice
Dodo Payments is the trademark of its respective owner and is referenced here solely to accurately identify our payment processor. Any other third-party names, logos, or trademarks that may appear on our website or within the Service (for example, in connection with optional sign-in methods) are likewise the property of their respective owners. None of these references imply any sponsorship, endorsement, or affiliation between Wisertrack and those owners.
13. Cookies (Public Website)
Our public website uses only strictly necessary cookies required for basic site functionality (for example, remembering a cookie-consent choice). We do not use third-party advertising or cross-site tracking cookies on the website.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or an in-app/website notice, with reasonable advance notice where the change reduces your rights, and the "Last updated" date above will be revised. Continued use of the Service after a change takes effect constitutes acceptance of the revised policy.
